Date sent to all faculty: 8/18/17

Dear Faculty Colleagues:

Welcome back to Campus, and to our newest faculty members, welcome to Georgetown! As a reminder, we will be going public with GUFaculty360 on September 15. Before we open the system to public view and search, I am writing to ask that you take a few moments to do the following:

  • Review your information for accuracy and update as necessary, to include photo and CV.
  • If your appointment data or office location information is incorrect, please contact GU360help@georgetown.edu
  • If your area of expertise is not available in the type-ahead options, please contact us at the email above and we will add it for you
  • If you need assistance with updating your information, please contact us at the email address above or at Help.Georgetown.edu

General instructions are attached and may also be found on our website at GU360.georgetown.edu

Please review and set your privacy settings for both pages and elements on each page (detailed instructions below).

If you are new faculty or did not have information in our old system, Explore, your profile will be mostly blank, but you will be searchable in the directory. Therefore, I encourage you to add basic information in your profile which is a default view at all times. Detailed instructions can be found on our website at gu360@georgetown.edu under the GUFaculty360 tab as shown below.

You may elect to do nothing, in which case only basic information will show in your Profile.  You may preview this information by clicking “View Public Profile” from your Biographic Information page

Upcoming Enhancements:

We are currently working on a downloadable CV which will pull information that you enter in your profile on GUFaculty360, as well as the standard annual report format for Main Campus and GUMC.

Coming later this Fall/Winter:

  • A work history tab
  • A professional development tab
  • A publicly searchable department list and directory

If you have any questions or concerns, or suggestions for improvement, please contactGU360Help@georgetown.edu.

Sincerely,

Judd Nicholson
Vice President for Information Services and Chief Information Officer

Dear Faculty Colleagues,

This email is to advise you that as of today GUFaculty360, the replacement for faculty profiles in Explore, is live in production. You may now log in via the Georgetown360 home page at https://gu360.georgetown.edu (Georgetown Single Sign On).

Your Explore profile has been converted, so at a minimum, what is currently in Explore, should now be inGUFaculty360. The system is open for you to validate, edit and update your info. It will not be publicly accessible until September to allow us plenty of time to make modifications and address any issues as they are identified.

A few things to note:

If you had previously asked to have your profile updated on your behalf and sent us information, we are working on that and will notify you when your profile is complete and ready for review/ editing. If you notice any discrepancies in data, it is possible that the information is incorrect in the source system (GMS, Banner, Explore), please notify us of the issue so that we may troubleshoot at GU360Help@georgetown.edu. Mentoring data is not yet available, we will be adding that over the next couple of weeks.

If you have a delegate(s) who maintains your profile on your behalf, you should have received an email requesting authorization for that person(s) to continue to have access to your profile. Until we receive authorization from you, no one will have access to edit your profile with the exception of the GU360 core team, the Main Campus Office of Academic Appointments (MCOAA), and GUMC Office of Faculty Affairs. If you did not receive an email and would like to appoint a GU staff member, please email the name and NetID of the individual to GU360Help@georgetown.edu.

If you are a delegate, you will be notified when you have been authorized to begin editing/updating profiles.

While the system is designed to be user-friendly and intuitive, training sessions are being scheduled (please see attached for schedule and sign up instructions). If you would like assistance with updating your profile, you may email GU360Help@georgetown.edu.

Attached are a series of navigation guides to help you. These will also be available on the Georgetown360 website at https://gu360.georgetown.edu. If you encounter any issues, have any observations for improvement, or the system is not behaving as described or as you expect, please contact us as soon as possible so that we may troubleshoot and address immediately (and please let us know which browser and operating system you are using). You may email GU360Help@georgetown.edu.

Over the summer we will be testing reporting features to allow you to download information into a CV format or the current Main Campus and Medical Center annual report form. Thank you to those of you who have already volunteered to test this feature. If you would like to volunteer, please contact us at GU360Help@georgetown.edu and we will notify you when the reports are ready to test.

The system will continue to evolve as we receive feedback and suggestions from you. We will post updates to our website at https://gu360.georgetown.edu.

While we are preparing the system for public availability, your profile in Explore will continue to be accessible for viewing only. If you have a critical need to update your existing profile, please contact us at GU360Help@georgetown.edu with particular details of the changes you require. When GUFaculty360 profiles are publicly launched, Explore will no longer be accessible.

Prior to public launch, we will be sending an email requesting verification that your profile has been reviewed by you. We will go through the system one last time and hide any pages that do not have information--you will be able to add information at any time and have the option to make the page visible.

If you currently maintain course descriptions, we are working with the Office of the Registrar to transition course descriptions to Banner. Further information will be made available over the summer. If you have questions or need assistance with course descriptions please contact Aaron Swartz at Aaron.Swartz@georgetown.edu.

For SFS-Q Faculty: Your profile has a link to the SFS-Q website where your profile currently resides. We are working on a long term plan to avoid having to maintain both sites separately and will notify you.

Lastly, I’d like to thank all of our faculty working group and steering committee members who provide input, advice, guidance and testing support.

If you have any questions, concerns or comments, please contact GU360help@georgetown.edu.

Sincerely,

Judd Nicholson
Vice President for Information Technology and CIO

Dear Faculty Members:

Since last summer we have been working with approximately 50 of your colleagues in gathering inputs, pain points, and conducting testing of a replacement for Explore. This new service, known as GUFaculty360, is designed to be an easy to use, easy to navigate, self-service faculty information system that will improve collaboration, information sharing, and research opportunities. We write to share details about what GUFaculty360 has to offer and how we will close down Explore at the end of this month and make the transition to GUFaculty360 this summer.

GUFaculty360 will feature a private “dashboard” to allow you to build links to your current Georgetown systems without having to log in to multiple applications, and to communicate securely with your students and advisees. It will allow the option to share more information about your research, laboratories, activities, awards, grants, mentoring and other co-curricular activities, as well as information about you “in the news.” You will also have the option to select what information is displayed publicly, only within Georgetown, or only privately.

We will be launching Phase I of GUFaculty360 publicly in September of 2017. In order to meet this schedule, Explore will no longer be available for editing after May 31, 2017. All information that is in Explore as of that date will be converted into GUFaculty360 for the new, publicly available GU Faculty Directory as of September 2017. Your information as it exists in Explore on May 31, will be moved into GUFaculty360 for you. In June, we will open the new system for all faculty to review and edit their profiles before the system goes public in September 2017. Explore will remain live, in a read only site, until GUFaculty360 is launched.

You will also be able to “opt in” to create expanded profiles over the summer prior to public launch. If you would like assistance with adding materials to your profile, we will be happy to assist. We will, if requested, upload your latest CV, your photo, expertise, interests, publications, laboratory information, service activities, etc.

Over the summer we will be developing and testing an option to download your information into the Main Campus and Medical Center annual merit report format, as well as a generic CV format that will be editable. These CVs and forms can be downloaded, edited and printed allowing for GUFaculty360 to be your primary CV repository. If you are interested in testing this feature, would like assistance with updating your profile or have questions about GUFaculty360, please contact Linda Buckley at Linda.Buckley@georgetown.edu.

If you have a delegate(s) who currently maintains your profile in Explore, we will be requesting your approval to continue to allow this person(s) access to update your information prior to system launch.

Sincerely,

Judd Nicholson
Vice President for Information Technology and CIO
